Sending orders
Control who can send orders by email
Accept orders from anyone who finds your intake address, or restrict it to approved addresses and domains.

By default, anything that reaches your intake address becomes an order. If you would rather only certain people could send orders in, restrict intake to approved senders.
Two modes
In Settings, under Approved senders:
- Allow anyone — anyone who sends to your intake address creates orders. This is the default.
- Approved senders only — only approved addresses and domains create orders. Everything else is rejected and no order appears.

The setting saves as soon as you choose it.
Choosing Approved senders only with no rules yet added rejects every incoming email. Add your buyers first, then switch it on.
Two kinds of rule
Add either an exact address or a whole domain.
- An exact address —
purchasing@acme.com— matches only that address. - A domain —
@acme.com— matches any address ending in it.
Enter a domain rule with the leading @. That is what distinguishes it from an
address.
Matching ignores capitalisation, so Purchasing@Acme.com matches a rule written
as purchasing@acme.com.
Examples
- To accept one buyer’s purchasing desk, add
purchasing@acme.com. - To accept everyone at a buyer’s company, add
@acme.com. - If you forward from your own mailbox, add the address the forward arrives from.
That last one catches people out. Read the next section before restricting intake.
If you forward from your own address
Sender rules are checked against whoever the message is from when it arrives at your intake address.
Some forwarding setups preserve the original buyer’s address, so a rule for
@acme.com works. Others rewrite the sender to your own mailbox, so every
forwarded message appears to come from orders@yourcompany.com and only a rule
matching that will let anything through.
Test it before you rely on it: switch to Approved senders only with your rules in place, send one real order through the path your buyers use, and confirm it arrives. If it does not, your forwarder is probably rewriting the sender.
Adding and removing
- Go to Settings.
- Choose Approved senders only if it is not already on.
- Under Add approved sender, type an address or domain and choose Add.
- Remove a rule with Remove beside it.
Changes take effect for the next message. Orders already created are not affected.
What rejection looks like
A rejected message creates nothing. There is no failed order in your list and no bounce to the sender — from the buyer’s side the email simply goes nowhere.
