What is PO Autopilot?

PO Autopilot turns the purchase orders your buyers send you into Shopify draft orders, and asks you about anything it is not sure of.

Your buyers send purchase orders (POs) as PDFs, spreadsheets, scans and emails. Someone then retypes them into Shopify. PO Autopilot does the retyping, and leaves you the judgement.

What it does

An order arrives, PO Autopilot reads it, and matches what it read against your real Shopify catalogue and B2B records: the company, the location, the contact, the product variants, the delivery options, the payment terms. What it can settle confidently, it settles. What it cannot, it puts in front of you as a short list of decisions.

When everything is resolved, you create a Shopify draft order. That draft is an ordinary Shopify draft order — it lives in your Shopify admin, and you complete, invoice, or edit it exactly as you would any other.

Exceptions first

The screen you spend time on is the review screen, and it is built around the things that need you rather than the things that are fine. A twelve-line order where eleven lines matched cleanly shows you the one line that did not.

That is the whole design: PO Autopilot is not trying to be right about everything, it is trying to be honest about what it is unsure of. A guess that looks like a fact is worse than a question.

Shopify stays the source of truth

PO Autopilot never invents catalogue data. Products, prices, companies, delivery rates and payment-term templates are read from Shopify, and the draft order is built from Shopify’s own values.

This matters most when the purchase order disagrees with Shopify. If a PO quotes a price your catalogue does not have, you are asked which to use. If it names a delivery service, the choice is made from the delivery options Shopify actually offers for that order. The document is evidence about what the buyer wants; it is never treated as authority over your store.

How orders get in

You can send orders to PO Autopilot in three ways:

  • Upload a file from the Orders screen.
  • Describe an order in plain language, for a phone or counter order.
  • Email them in, to an address PO Autopilot gives your store — which your buyers can use directly, or which you can forward your own address to.

What it learns

When you tell PO Autopilot which company an account number belongs to, or which Shopify product a buyer’s own item code means, you can ask it to remember. The next order carrying that same identifier resolves without asking you again.

This is the part that compounds. Early orders ask you several questions; a buyer you have processed a few times often arrives with nothing to answer at all.
