What happens after you confirm a match

Which decisions PO Autopilot can remember, what it stores, and how that changes the next order.

Some decisions are worth making once. When you resolve one of those, PO Autopilot offers to remember it, and the next order carrying the same value resolves without asking you again.

Nothing is remembered unless you ask for it. Resolving an order without taking the option settles that order only.

What can be remembered

A buyer identifier → a company, location and contact. When you choose the purchasing entity, Remember this buyer? offers the identifiers this document actually carried:

  • the buyer’s account number
  • the buyer’s email address
  • the buyer’s phone number
  • the delivery address

Choose the one that identifies this buyer reliably. You are offered only the identifiers present on the document, and only those not already mapped.

A buyer’s item code → a Shopify variant. When you choose a product for a line, Remember this match? records that the code means that variant. This buyer only stores it against the company location on the order, so the same code from someone else is still asked about; All buyers stores it for the whole store. A pack size. When the line is ordered in cases or boxes, the conversion you enter is stored as part of that product mapping. The mapping is specific to the unit: a decision made for cases is not applied to a later order in singles.

A requested delivery method → a Shopify delivery option. When you resolve shipping, you can have the buyer’s wording remembered for that company location, so “Ground” or “Best Way” resolves next time.

Payment terms. Resolved payment terms can be remembered for the company location in the same way.

What is never remembered

Corrections to values read from the document. Fixing a misread quantity or a price applies to that order alone — a scan error is not a rule.

Price decisions are also per-order. Choosing the purchase-order price on one line does not commit you to it next time.

Which identifier to map

Choose the one that will be on the next order and will not change:

  • Account number is usually the best. Buyers print it on every PO and it rarely changes.
  • Email works well for buyers who email orders in from one address.
  • Phone is useful for orders that carry little else.
  • Delivery address suits buyers who order for one delivery point. It is stored as a fingerprint of the address rather than a copy of it, so the Mappings screen shows a reference instead of the address.

Matching allows for formatting differences. A phone number is matched on its digits, so (613) 555-0114 and +1 613-555-0114 are the same number, and an account number is matched ignoring case and punctuation.

Seeing and undoing what was learned

Mappings in the main navigation lists the buyer and product mappings your store has, and lets you remove any of them. See Manage mappings.

Remembered shipping methods and payment terms are also listed on the Mappings screen, in their own table, so you can review or remove outdated aliases.
