What counts as a processed order

Which things that arrive become a purchase order in PO Autopilot, and which do not.

“How many orders did we process” has a precise answer, and it is not the same as how many emails arrived or how many files were sent.

What becomes an order

  • Each file you upload, one order per file.
  • Each order you describe in plain language.
  • Each supported attachment on an email — three PDFs in one message are three orders. See Emails with multiple attachments.
  • The body of an email that has no supported attachment but does have content. See How email body orders work.

An order counts once it reaches a reviewable state — read, matched against Shopify, and waiting for you. It is not counted at the point you create the Shopify draft order; that step is yours, and it happens later.

What you do after that does not change the count: an order you review and turn into a draft, and one you delete without acting on, both reached review and both count once.

What does not become an order

  • A document already sent. Re-sending the same file takes you to the existing order rather than creating a second. See Duplicate order detection.
  • A message rejected by approved senders. No order is created at all.
  • An unsupported attachment. A .docx is skipped rather than becoming a failed order.
  • An empty message with no supported attachment and no usable body.
  • A message over the attachment limits — more than 20 supported attachments or more than 50 MB in total. The whole message is rejected.

Things that are one order, not several

  • A multi-page purchase order in one file is one order, however many pages or line items it has.
  • An order you review over several sittings is one order. Saving decisions does not create anything new.
  • An order that fails and is retried stays one order. Where a replacement file is uploaded against a failed order, it keeps the same identity rather than becoming a second one.

Things that are separate orders

  • A revised purchase order. A buyer sending a corrected version sends a different document, so it becomes its own order. Delete the superseded one if you do not want it.
  • One order split across several files. Attachments are never combined, so each file becomes its own order.
