Upload an order

Uploading is the most direct way to get an order in, and the one to use when a buyer sends you a PO by some route PO Autopilot does not watch — a portal download, a message attachment, a file someone handed you.

Upload a file

1. Go to Orders and choose New order.
2. Stay on the Upload document tab.
3. Drop your file onto the drop zone, or click it to browse.
4. Check the confirmation that appears with the filename.
5. Choose Upload purchase order.

One file at a time. To send several orders, upload them one after another — each becomes its own purchase order.

What happens next

The order is created straight away and opens in a processing state while the document is read and matched against Shopify. This is usually a few seconds.

If the file is refused

The drop zone rejects anything that is not a supported type before you can submit it, and you will see an explanation on the page rather than a failure afterwards.

Common reasons:

• The type is not supported. See Supported order formats.
• The file is larger than 25 MB. A scan at very high resolution is the usual culprit; rescanning at 200–300 dpi is normally enough.
• The extension does not match the file. A PDF saved as order.csv is refused. Rename it correctly and try again.

Uploading the same order twice

If you upload a file PO Autopilot already has, it recognises it and takes you to the existing order instead of creating a second one. You do not need to check first. See Duplicate order detection.

Replacing a file that could not be processed

If an order failed in a way it cannot recover from — a corrupt file, or one that failed the malware scan — you can upload a replacement file against that same purchase order rather than starting again. The order keeps its identity; only the source document is replaced.

This is offered on orders that are in that state. For an order that simply needs a decision from you, there is nothing to replace — work through the review screen instead.
